Automating Group, Learning Plan, or Course Enrollment

Enrollment rules make it possible to automatically enroll learners into groups, courses, or learning plans.  These rules can be applied to anyone who joins your institution’s learning environment, or only to learners who meet specific criteria.

Automations are best thought of as “If…then…” statements.

For example:

  • If a new user is created in my institution’s learning environment, then enroll them in the NewHire Learning Plan.
  • If their profile also says that they’re a supervisor, then also enroll them in the Avoiding Supervisory Pitfalls course.
  • If their department is listed as “Facilities,” then include them in the Facilities group.

These automations can help simplify the process of managing overlapping populations with different training needs.

Note: Enrollment rules are not retroactive and will only apply to users who are added to a branch or group for the first time.  Existing learners will need to be managed manually.

To identify specific user segments, you can use the user additional fields that capture important user attributes. These fields may include information such as Job Title, Hire Date, Department, Location, Manager, Product, Employee Status, or anything else that may be valuable to track within the platform. By creating multiple groups, you as a training administrator can easily target various user segments for use in the platform.
