Limited Admins – Getting Started

This guide will go over how to use your new Limited TA abilities: viewing user account information and pulling reports.

Limited TAs cannot: create or edit user accounts, assign trainings, or build learning plans. If you need those functionalities, please reach out to launch@ue.org.

Accessing The Admin Menu

1. Login to your account on learn.ue.org. You will land on your learner homepage.

2. To access the Admin Menu, click the gear icon in the top-right corner.

User Management

3. The user management section lets you:

  1. Verify if a learner has an account.

  2. Search for a specific user and access their profile/course completion data.

  3. Export a list of users with additional data like their last access date and any of the optional fields your institution may be using.

    To access the User Management section, click on Users.

Filtering the User List

4. To search for a user, click the search for users bar and type their name or email address.

5. You can apply additional filters by clicking the down arrow on the left side.

6. Click “Add filter” to view and select the available filters.

7. To change which columns are visible, click the column button (three rectangles) next to the filter button.

8. The last section is the branch area. Branches are how the system segments the different users in the system. Your institution would be one branch. However, some institutions have sub-branches to create other segments. If your institution uses single sign on (SSO), there may be a separate non-sso branch for contractors or volunteers who don’t have an institutional email address.

You’ll see all users in your branch and any subbranches by default.

Exporting a List of Users

9. To export a list of users to Excel, first select the users you want to include by checking the box next to their username.

10. Then, click Choose Action in the bottom-right corner.

11. Then choose your export format.

12. You can then choose which fields you’d like to include in the file.

13. Click “Export CSV File” to export your file.

Viewing a Learner’s Profile

14. From the user management page, hover over the name of the learner you’d like to look at. Then, click on the three dots that appear on the right side.

15. Click “User Personal Summary”

16. You’ll first land on the user stats page. Click on the Courses tab on the left to access their course completion information.

17. You can also view their past completions by switching the Enrollment status section from “Active enrollments” to “Archived enrollments”.

18. To see their progress in a specific learning plan, click the “Learning plans” tab.

Building and Viewing Reports

19. From the Admin menu (gear icon), click on New Reports.

20. From here, you can bring up PDF/printable versions of the user personal summary page that was covered in the previous section.

21. You can also use the Course Summary section to create a similar summary for a specific course. However, if you want to export a .csv or Excel version of the course completion information, you’ll need to create a custom report.

22. Click “Custom reports builder,” to access the custom report section. This is also where you will find any reports that others created and shared with you.
