Preparing Your Bulk Upload

This guide provides step-by-step instructions on how to prepare your bulk upload file for user accounts. It includes information on the required headers and optional fields, as well as how to find your institution’s branch code.

 

Preparing Your File

1. Put together your user file using your own format or use our template.

2. The following headers are required:

  1. Email
  2. First Name
  3. Last Name
  4. Username: Email address again.
  5. Password: You can choose to have learners change their password the first time they login.
  6. Active: This means, this is an active user account in the system? Enter Yes or No.
  7. Branch Code: This is the code that ties your learners to your institution in the system. Need help finding your branch code? Move on to step 3.

Tip: The following fields are optional:

  1. Direct Manager: Enter the email address of their direct manager. The direct manager will be able to pull reports on their team members, even if they aren’t a training administrator.
  2. TA Manager: Enter the email address of the TA overseeing training.
  3. Training Admin: Enter the name of the TA overseeing training if you would like this to be displayed on your learners’ landing page.
  4. Training Admin Contact Information: Enter the email address of the TA overseeing training if you would like this to be displayed on your learners’ landing page.
  5. UID: Enter the learners’ unique institutional IDs if you.
  6. Role: This is an open text field. Examples of roles could be: freshman, athlete, volunteer, contractor, etc.
  7. Supervisor: Are they a supervisor? Yes or no.
  8. Student or Employee: Are they a student or employee?

If you would like to enroll learners in one or more courses with this upload, please also include the Course Level column.

Finding Your Branch Code

3. Sign into your account on learn.ue.org.

4. Your institution’s branch code is displayed in the middle of the Admin Panel. Copy and paste the full code (including the dash) into the Branch Code field of your bulk upload file.

Saving Your File as a CSV

Tip: This section walks you through how to save your file as a .csv. Saving your file as a CSV will help us process your file more faster.

What are CSV (.csv) files?

Comma-Separated Values (CSV) files store tabular data in plain text. Each line of a CSV file is a data record/row. Each record/row consists of one or more fields/columns separated by a delimiter.

CSV files can be created with a number of software programs (i.e. Excel, Google Sheets, Notepad, TextEdit, Emacs). The content within the file must follow the CSV Standard format and the file must have a “.csv” file extension.

5. Click file.

6. Click “Save a Copy”

7. Click “Save as type”

8. Click “CSV UTF-8 (Comma delimited) (*.csv)” OR “CSV (Comma delimited)(*.csv)”

9. Click “Save”

10. Click “OK”

Submit Your Upload

11. You’re now ready to submit your upload! Please reach out to launch@ue.org with any questions.
