User Account Statuses

Use this reference page to understand what learner account statuses mean, how they affect login access, and which workflow to use when you need to update a learner’s account.

A learner’s account status controls whether they can access the UE Learning Portal. Active users can log in. Deactivated and expired users cannot.

Understanding User Account Statuses

User account statuses indicate whether a learner can access the Learning Portal. Statuses are displayed in User Management and can also be updated in bulk using a CSV file.

Comparing Account Statuses

Status Meaning Can Log In? Common Use
Active Learner has access to the Learning Portal. Yes Current learners
Deactivated Learner no longer has access. No Former or inactive learners
Expired Account expiration date has passed. No Time-limited access

Understanding Active Users

Active users can access the Learning Portal and complete training. Active users are identified with a green checkmark in User Management.

Understanding Deactivated Users

Deactivated users cannot log in or access the Learning Portal. Training Administrators can deactivate or reactivate learners individually or in bulk.

Use Deactivation When… What To Remember
A learner should no longer access the portal. Deactivated users cannot log in.
A learner may return later. The account can be reactivated when access is needed again.

Understanding Expired Users

An expired user is a learner whose account expiration date has passed. Expired status is generated automatically and cannot be selected manually.

Important: To restore access, update the learner’s expiration date to a future date. The learner will return to their previous status after the expiration date is updated.

Changing Statuses With A CSV File

When updating learner statuses in bulk, use the Active column in your CSV file.

Yes Active Learner can log in
No Deactivated Learner cannot log in

Tip: Use CSV status changes when many learners need to be activated or deactivated at the same time.
