Learning Plan Management

Choosing How Learners Enroll in Learning Plans

Use this overview to choose the best way to enroll learners in a learning plan based on your training launch size, learner population, and enrollment goals.

Choose the enrollment method based on how many learners need training, whether learners should enroll themselves, and whether different populations need different learning plans.

Choosing the right enrollment method

Use this table to quickly choose the article or resource that matches what you need to do.

If you need to… Open this guide or resource
Enroll a small number of existing learners Enrolling Learners and Groups in Learning Plans
Enroll many learners into one learning plan Bulk Enrolling Users into a Learning Plan with a CSV File
Let learners enroll themselves Creating a Self-Registration Link for a Learning Plan
Enroll different learner populations into different learning plans Bulk Uploading Users into Different Learning Plans

Comparing enrollment methods

Method Best for Learner experience TA effort
Manual enrollment Small groups or one-off learner additions Learners are added by the TA Higher for large groups
CSV enrollment Large groups going into one learning plan Learners are added by the TA through a file upload Lower for large groups
Self-registration Learner-driven enrollment or open enrollment campaigns Learners use a link to register or enroll themselves Lower after setup
Group enrollment Different populations that need different learning plans Learners are added based on group membership Higher setup, easier reuse

Tip: If you are choosing between CSV enrollment and group enrollment, use CSV enrollment for one learning plan and group enrollment when different populations need different learning plans.

Choosing manual enrollment

Manual enrollment is best when you only need to enroll a small number of existing learners, groups, or a branch.

Use manual enrollment when… Use something else when…
  • you are adding a small number of learners
  • you are enrolling one group or branch
  • you want to confirm each selection manually
  • you have a long spreadsheet of learners
  • learners should enroll themselves
  • different learner populations need different learning plans

Choosing CSV enrollment

CSV enrollment is best when you already have learners in a spreadsheet and need to enroll many users into the same learning plan.

Use CSV enrollment when… Use something else when…
  • many learners need the same learning plan
  • you already have a CSV file
  • you want a TA-controlled enrollment process
  • learners should decide whether to enroll
  • different learner populations need different learning plans
  • you only need to add one or two learners

Choosing self-registration

Self-registration is best when learners should use a link to register for or enroll in a learning plan themselves.

Important: Learners will not be able to self-register or enroll in a learning plan unless the learning plan is published.

Use self-registration when… Use something else when…
  • learners should enroll themselves
  • you are sending a launch email with a link
  • you do not need to pre-select every learner
  • you need to control exactly who is enrolled
  • learners should be enrolled before the launch message goes out
  • you need to enroll a defined list from a spreadsheet

Choosing group enrollment

Group enrollment is best when several distinct learning populations need different learning plans.

Important: Users must exist in the system before they can be added to a group.

Use group enrollment when… Use something else when…
  • different populations need different learning plans
  • you want to reuse a learner population later
  • you want to enroll a group instead of selecting learners one by one
  • everyone in the file needs the same learning plan
  • you do not need to reuse the population
  • you only have a small number of learners
