Deactivating or Reactivating a Learner

Use this guide to activate or deactivate learner accounts individually or in bulk.

Key Point

Deactivating a learner immediately prevents them from accessing the Learning Portal, but does not delete their account, enrollments, completions, or reporting history.

Opening User Management

  1. Open the Admin Homepage.
  2. Click User Management.

Deactivating A Single Learner

  1. Locate the learner in User Management.
  2. Click the green status icon next to the learner’s name.
Deactivate Learner
Click the green status icon to deactivate a learner.

The page will refresh and the green icon will be replaced with a gray icon, indicating that the learner has been deactivated.

Deactivating Multiple Learners

  1. Select the checkbox next to each learner you want to deactivate.

  1. Click Choose Action.
  2. Select Deactivate.

Tip: Use the header checkbox to select all learners on the current page, or click Select All to select all learners across all pages.

Activating A Single Learner

  1. Locate the learner in User Management.
  2. Click the gray status icon next to the learner’s username.

Click the gray status icon to reactivate a learner.

The page will refresh and the learner’s status icon will change back to green.

Activating Multiple Learners

  1. Select the learners you want to activate.
  2. Click Choose Action.
  3. Select Activate.

Understanding User Statuses

Status Meaning
Active The learner has access to the Learning Portal and has previously accessed training.
Activated The learner has access to the Learning Portal but has not yet accessed training.
Deactivated The learner no longer has access to the Learning Portal.
Expired The learner’s account expiration date has passed.

Important

Expired users cannot be reactivated using the status icon. To restore access, update the learner’s expiration date to a future date.

Learner status can also be updated through a bulk user upload. Active users should have a value of Yes and deactivated users should have a value of No in the Active column.
