User Account Statuses

Use this reference page to understand what learner account statuses mean, how they affect login access, and which guide to use when you need to update a learner’s account.

Key point

A learner’s account status controls whether they can log in and access the UE Learning Portal. Active users can log in; deactivated users cannot.

Understanding user account statuses

User account statuses help TAs understand whether a learner can access the platform. Statuses are shown in User Management and can also be updated in bulk using the Active column in a CSV file.

Comparing account statuses

Status What it means Can the learner log in? Common use
Active The learner is activated in the platform and can access the portal. Yes Current learners
Deactivated The learner is no longer able to log in or access the platform. No Former or inactive learners
Expired The learner’s expiration date has passed. The expiration date must be updated before the learner can return to the previous status. No, while expired Time-limited access

Understanding active users

Active users are activated in the platform and have accessed at least one course, training material, or informal learning asset. They are marked with a green checkmark in the main users list.

Understanding deactivated users

Deactivated users cannot log in or access the platform. TAs can deactivate or reactivate learners manually from User Management, or activate and deactivate users in bulk with a CSV file.

Use deactivation when… What to remember
A learner should no longer access the portal Deactivated users cannot log in.
A learner may return later Use the reactivation workflow when they need access again.

Understanding expired users

Expired users are marked with a warning icon in the Status column. TAs cannot change the status directly from the Status column while the account is expired.

Important: To restore an expired user to their previous status, edit the learner’s profile and update the expiration date to a future date. Updating the expiration date resets the learner to their previous status, but it does not automatically activate the user.

Changing statuses with a CSV file

When changing user status in bulk, use the Active column in your CSV file.

No Deactivated user The learner cannot log in.

Tip: Use CSV status changes when many learners need to be activated or deactivated at the same time.
