Configuring an SFTP Connection for Reporting and User Creation

Use this guide to understand how your institution can securely send and receive data through UE’s SFTP connection.

SFTP can be used to send user data to the LMS, receive reports from the LMS, or both.

What SFTP can be used for

Your institution can configure a connection with UE’s system to securely send and receive data.

Use Description
Send user data Send data from your HRIS or SIS to automatically create or update user accounts.
This is often used so new hires have an account and can complete training the day after they are added to the HRIS.

Note: This process does not assign courses or learning plans on its own. UE must configure an enrollment rule for that step.

Receive reports Receive reports that can then be pulled into your institution’s other systems, such as an HRIS or SIS profile.

Your institution can request one or both options. You can also start with one and add the other later if needed.

Configuration process

  1. Someone from your institution’s IT department submits the
    UE SFTP Configuration Request Form.
  2. UE receives the request and configures the SFTP connection within 3 business days.
  3. UE reaches out to ask you to test your login.
  4. If you requested reports, UE configures the chosen report to be delivered to the reports folder daily.
  5. If you requested user account updates or creation:
    1. Your team uploads a test file of users into the upload folder and lets UE know it is complete.
    2. UE configures the import process in the LMS and processes the file.
    3. If there are issues with the file, UE lets you know and asks for updates.
    4. Once everything is processing correctly, you can begin sending files daily. Files process between 1–9 AM ET.
    5. This triggers any enabled automations.

User file requirements

  • The file must be a CSV.
  • Headers are helpful, but not required.
  • Files can be processed daily at most.
  • You can send the full population in every file, or only the changes.
  • Optional fields can be added later, but please let UE know if you want to add fields that were not included in the initial test file.

Required fields:

Field Notes
Email Address The learner’s email address.
First Name The learner’s first name.
Last Name The learner’s last name.
Username Usually the email address again, unless your institution uses a different username through SSO.
Password Required even for institutions using SSO. SSO learners do not need to know or use the password.
Active Yes or No.
Branch Code The branch code for the institution.
