Reporting & Data Management

Reports and Dashboards Overview

Use this reference page to understand the different reporting tools available in the UE Learning Portal and choose the right guide for the data you need.

Key point

Start with what you need to answer: use learner profile views for one learner, course reports for one course, Insights or standard dashboards for broader monitoring, and custom reports when you need a reusable or tailored data export.

Choosing a reporting tool

Use this table to choose where to start based on the question you are trying to answer.

If you need to… Use this reporting option Best fit
Check one learner’s active or archived records Learner profile view / User Personal Summary One-off checks
Track progress for a specific course Course report page One course
Monitor completion activity at a higher level Standard reports, dashboards, or Insights Overview data
Create a report that matches your institution’s needs Custom reports Reusable reports
Download course-level data Course report export Excel or CSV

Comparing reporting options

Reporting option Use it for Output Setup level
Learner profile view Checking one learner’s course, learning plan, active enrollment, or archived enrollment record. On-screen learner record Low
Course reports Reviewing data for one course, including user statistics and training material statistics. On-screen report, Excel, or CSV Low
Standard reports and dashboards Monitoring completions using built-in reporting tools. Dashboard or standard report Low
Insights Viewing dashboard-style information, such as course enrollments and completions. Dashboard view or print output Low
Custom reports Creating, duplicating, editing, saving, or scheduling reports that match your institution’s needs. Custom report export or scheduled report Higher

Tip: If you are not sure where to start, use the simplest reporting option that answers your question. Move to custom reports when you need repeatable exports, specific fields, or scheduled delivery.

Using learner profile views

Use learner profile views when you need to answer a question about one learner. This is useful for one-off checks, especially when you need to review active and archived records.

Use learner profile views when… Use something else when…
  • you are checking one learner
  • you need to confirm a learner’s course or learning plan status
  • you need to view active or archived records for one person
  • you need a spreadsheet of many learners
  • you need recurring reports
  • you need course-wide progress data

Using course reports

Use course reports when you need progress or completion information for a specific course. Course reports can be downloaded as Excel or CSV files.

Course report section Use it to…
User statistics Review user-level course report information.
Training material statistics Review statistics for course training materials.
Export Download course report data as Excel or CSV.

Using standard reports and dashboards

Use standard reports and dashboards when you want built-in tools for monitoring completions without building a custom report from scratch.

Tip: Standard reports are a good first stop when you need completion information but do not yet know whether you need a custom report.

Using Insights

Use Insights when you want dashboard-style information, such as course enrollments and completions. Insights can also support filtering and printing dashboard information.

Use Insights when… Open this guide
you want dashboard-style completion information Accessing the Insights Dashboard
you want to filter or print dashboard information Accessing the Insights Dashboard

Using custom reports

Use custom reports when the standard reporting tools do not include the exact fields, filters, or recurring delivery options you need.

Use custom reports when… Use something else when…
  • you need specific fields or filters
  • you want to duplicate and edit an existing report
  • you need to schedule recurring report delivery
  • you need a reusable report for ongoing monitoring
  • you are checking one learner
  • you only need one course report export
  • a standard dashboard already answers your question

Working with archived data

Archived completion data may be available in learner profile views, course enrollment areas, and custom reports. Use archived data when you need to review past completions after a learner has been re-enrolled or an enrollment has been archived.

Where to look Use it when…
Learner profile view You need to check archived records for one learner.
Course reports or enrollments You need archived data for a specific course.
Custom reports You need archived enrollment data across many learners or courses.
