Training Administrator Role and LMS Basics

Understanding the Training Administrator role

A Training Administrator, or TA, helps manage online training for an institution in the UE Learning Portal. In the LMS, this role may also be called a power user.

Depending on permissions, a TA may be able to:

  • create and manage learner accounts
  • assign courses or learning plans
  • generate self-registration links
  • manage groups or team managers
  • monitor progress and completion data
  • run reports
  • support learners with access or enrollment issues

Note: TA access can vary by institution, user role, and permission setup.

Using the UE Learning Portal

The UE Learning Portal is the LMS where learners complete UE training and Training Administrators manage users, enrollments, learning plans, reports, and related tasks.

The Learning Portal is located at learn.ue.org. This site is separate from ue.org, where you can find insurance information and other UE risk management resources.

Understanding core LMS concepts

These terms appear throughout the TA guide library.

Term What it means
Learner A user who completes training in the Learning Portal.
Training Administrator A user who helps manage training, users, enrollments, learning plans, and reports for an institution.
Branch code An institution identifier that connects learners to the correct institution when accounts are created.
Course An individual training item learners complete in the Learning Portal.
Learning plan A structured training path that can include multiple courses, deadlines, prerequisites, optional or required content, and self-registration options.
Group A way to organize learners for enrollment, reporting, or administration workflows.
Self-registration link A link learners can use to create their own account and access a course or learning plan.

Knowing common TA responsibilities

Most TA work falls into a few recurring responsibility areas.

Responsibility What this can include
Managing learners Creating accounts, updating profile details, deactivating or reactivating learners, checking for duplicates, and supporting login issues.
Assigning training Enrolling learners in courses, assigning learning plans, using groups, or generating self-registration links.
Monitoring training Running reports, checking completion data, identifying non-completions, and reviewing dashboard information.
Supporting learners Helping learners find training, resolve account problems, confirm enrollment, or understand access instructions.

Choosing setup options

Many TA workflows begin with two choices: how training will be assigned and how learners will get accounts.

Assigning training Creating accounts

Choose between:

  • direct course enrollment
  • learning plans

Choose between:

  • self-registration
  • manual creation
  • bulk upload
  • automated transfer

Tip: Start with the simplest setup that meets your training needs. Use learning plans, bulk uploads, or automation when your training requires more structure or repeated updates.

Protecting learner data quality

Good learner data helps prevent access issues, duplicate accounts, incorrect enrollments, and reporting problems.

  • Confirm names and email addresses before creating or uploading users.
  • Search for existing accounts before creating a new user.
  • Use the correct branch code or institution-specific fields.
  • Check learning plan or course assignments before launching training.
  • Review reports regularly during an active training initiative.
  • Use related guides when a workflow is unfamiliar.

Important: Account, enrollment, and completion changes can affect reporting. Review details carefully before making bulk or high-impact changes.
